Dear Student,

We are glad to have you back on campus and hope that your first week has gone well. This email is to provide you with more information about the Room Change Process. Please read this email carefully for more information about having a vacancy in your room or if you would like to pursue a room change.

1. I HAVE A VACANCY IN MY ROOM. WHAT'S NEXT?: You may currently have a vacancy in your room. Residents of half-filled rooms are required to leave the room in a condition that provides open and equal space for a new resident of the room. If you are in a half-filled room you are expected to continue to display appropriate behavior that would be welcoming to a new resident. If a vacancy in your room is offered to a student, your Office Manager will send you an email to notify you when you may receive a potential roommate.

2. WHAT DO YOU NEED TO DO IF YOU WANT TO CHANGE ROOMS?: If you wish to move to a different room you will begin that process by placing your name on a waitlist for the buildings/complexes that they are most interested in. You may place your name on as many waitlists as you would like, depending upon the buildings/areas you are interested in moving to. Students currently living in full triple rooms will have the highest priority for doing a room change and were able to start putting their name on waitlists as of 9:00 a.m. on Monday, August 31. These students had exclusive access to the waitlists for the first 48 hours. After 9:00 a.m. on Wednesday, September 2, waitlists were made available for everyone who lives on campus. The waitlist(s) are located at http://rlcsweb.uvm.edu and once you log in, you may add or remove yourself from whichever waitlist(s) you choose. You must be on a waitlist in order to be offered a room change.

3. I AM ON A WAITLIST(S)- WHEN DO I GET TO MOVE?: Room changes will be offered to you based on your position on the waitlist for each building/complex. All room change offers will be made by the Office Manager of the particular area via your UVM email account, so please make sure to check that on a regular basis so you do not miss out on an opportunity. After a room change has been offered, you will have 24 hours to decide whether or not to accept the space before it is offered to the next student on the list. Please note that if you decline a space, you will remain on the waitlist, but your name will cycle to the bottom.

4. WHAT IF I JUST WANT TO SWITCH PLACES WITH SOMEBODY ELSE?: "Body for body swaps" may also start occurring. This is when 2 students trade spaces and move into the other's room. These swaps started as of 9:00 a.m. on Monday, August 31. If you wish to do this type of swap you do not need to place your name on a waitlist, but you will need to contact your complex Office Manager directly to obtain permission for this type of swap. In order for a swap to be considered, all parties in the two rooms (including roommates) must be in agreement. Office Managers will have a "body for body swap" form that all parties will need to agree to and sign before they may proceed with any swap. It will be to your benefit to talk to the residents of the rooms involved in these swaps prior to contacting your Office Manager so that you have everything lined up in advance.

*Please do not start moving until you have received permission from your Office Manager and completed the necessary steps with them.*

Please let us know if you have any questions.

Sincerely,

-- Andrew H. Martin, Housing Coordinator - Department of Residential Life
